Policies, procedures and terms & conditions

How to book 

Before booking, please ensure the event hosting package, exhibition space or posterboard option you have chosen is the correct one for you.  

Exhibition space: please note if you opt for the basic space without an electrical package, you can’t upgrade it on arrival at the venue due to there being no electrical mains supply located within your space.   

When booking an exhibition space, please ensure you and/or staff are available to staff your space for the duration of both days: 7 and 8 November.   

Once your booking has been processed you will be sent a confirmation email, along with further details.  

Please note: your booking is not confirmed until you receive the confirmation email, so please get in touch with thegathering@scvo.scot if you do not receive it within seven days of making the booking. Remember, to check your junk mail.

NB: participants will only receive Gathering correspondence from an official SCVO email address.

How to pay  

On booking your event, exhibition space or posterboard you will be asked to submit your invoice payment contact details.   

An invoice will be sent within two weeks of your booking confirmation. Invoice payment terms are 30 days and must be paid in advance of the event.   

Cancellation    

Any event host, exhibitor and/or anyone booking a posterboard wishing to cancel their booking 8 weeks or less prior to the event will be liable for full payment of the original booking cost. Any cancellations received up to 11 August 2023 will be charged at 50% of the original booking cost.             

NB: All cancellations must be received in writing.  

Location  

Please note the location of your event room and time will be confirmed w/c 12 June. 

The location of your exhibition space and posterboard will be confirmed once we have received your completed exhibitor profile or posterboard details.   

Set up  

You will be able to set up your exhibition space on Monday 6 November – more details will be sent with your exhibition manual in the Autumn.     

Dismantle    

You should not dismantle your exhibition space until the doors close to the public at 3pm on 8 November. If you do, you might incur charges by the EICC.

In order to comply with SCVO’s equalities policy, we aim to ensure our events are accessible to all (our Equalities Policy is available on request). To ensure all participants are treated fairly and their requirements are met fully, please let us know at the time of booking of any specific needs you might have or if there is anything we can do to make things more accessible for you.    

Additional support   

Some people need additional communication support to participate fully in events. SCVO considers reasonable adjustments on each request for communication support on a case by case basis. If anyone requires additional support, in order to attend your event, please contact us to discuss.    

All our venues are accessible and are fitted with induction loops, lifts and accessible toilets.  

Travel and accommodation   

We recommend you do not make travel arrangements or book accommodation before receiving the confirmation email. Any travel or accommodation costs incurred are entirely your responsibility.

Copyright   

By accepting our Policies, procedures and terms & conditions you acknowledge that all event content and materials are owned by SCVO, the exhibitor, event host, speaker, visitor and guests participating at the Gathering and you will not obtain any rights whatsoever to such content or materials.     

In addition, the above participating at the Gathering agree not to reproduce, sell, hire or copy content or materials and will not use such materials except for the purpose of post event reference.
