Please note all event hosts will only receive Gathering-related correspondence from an official SCVO email address (@scvo.scot, or occasionally @scvo.org.uk). You may receive emails about the Gathering from 'Form Assembly', for example report@formassembly.com, and from thegathering=scvo.scot@mail.scvo.scot -- these are also official emails. If you get any requests from any other email address about appearing in guides or anything else related to the event, just ignore them.
We have allocated each event host a time slot and day to ensure there is no clash in the programme, theme or audience. If you have any questions about this, please do not hesitate to contact us directly.
SCVO reserves the right to cancel your event, amend the times or date at any time.
In the event the Gathering is cancelled or postponed (by SCVO or the EICC) no costs will be incurred by the event host.
Any event host wishing to cancel their event should get in touch with SCVO’s Events and training manager Alex Thomson (cc: thegathering@scvo.scot) to discuss their concerns in the first instance.
Any event host cancelling their application 8 weeks or less prior to the event will be liable for full payment of the original booking cost, cancellations up to 14 December 2026 (8 weeks) will be charged at 50% of the original booking cost.
SCVO will assist each Gathering event host in the marketing and advertising of your event. We will advertise your event which, will include date, time, event title and contact details in various adverts in Third Force News and through our social media channels in the run up to the Gathering.
A fuller description of your event will also be advertised on the Gathering website, which receives over 11,000 visitors.
It is not the responsibility of SCVO to ensure attendance at your event, so please include your event in any marketing and spread the word to your colleagues, partners and networks.
Each event room comes complete with a screen, data projector, laptop, lectern with a built-in microphone, handheld mic(s), and a top table. Technical support will be provided by the EICC.
Each room will be set up in either theatre-style or round table style. Please note you won’t be able to rearrange the furniture for health and safety reasons.
As your event room will be used by other organisations on the same day, please arrive 15 minutes before your event starts. Please also leave the room 15 minutes after your event is scheduled to finish.
The Gathering website will allow delegates to book onto your event and an automated response confirming a place at your event will be sent to each delegate.
You will also be able to view a delegate list for your event before and after the Gathering.
If any delegate attending your event requires a British Sign Language (BSL) to English interpreter, speech to text, or any other requirement to participate fully at your event, you are required to contact us immediately to discuss in more detail. A small charge may be incurred by event hosts who require this.
