Delegate Etiquette Guidelines

We look forward to welcoming you to our upcoming course.  To help the course run smoothly please take time to read the below: 

Online

  • Please be ready to join the course a few minutes ahead of the scheduled start time so the trainer can let you into the session and to allow everything to run to schedule.   
  • If you are running late on the day or unable to attend due to illness please get in touch with training@scvo.scot as soon as possible in order for the team to let the trainer know. 
  • All audio should be muted as you come online and enter the course, please stay on mute unless you wish to speak. 
  • Please ensure to keep your camera on throughout the course. If for any reason you cannot please inform the trainer in the chat function.
  • Please ensure to display your full name on your screen, so the trainer knows you are present and can easily identify you throughout the session. 
  • Use the chat function to introduce yourself when you join. You can also use this function to comment or pose questions while the trainer or other learners are talking. 
  • Respect each other. To avoid talking over each other, please use the 'hand raise' function to show you would like to speak. This includes in the breakout rooms, we want to ensure everyone gets a chance to speak and share thoughts. 

In-person

General guidance

  • All learners should arrive at least 15 minutes before the start time of the course.
  • If you are running late on the day or unable to attend due to illness please get in touch with training@scvo.scot as soon as possible in order for the team to let the trainer know.
  • Our events team is available to ensure the smooth and efficient running of the day and can be contacted on 0131 447 8005.
  • Dietary requirements - should be booked in advance, caterer will be informed.
  • Access requirements - should be requested on booking.
  • Carers or personal assistants are welcome at training courses. Personal assistance is not available from SCVO staff.
  • Lunch is a finger buffet with special dietary requirements available - requests should be submitted on booking form in advance. As part of SCVO’s commitment to reducing our environmental impact, lunch will be vegetarian by default.
  • Lunch and refreshments are self-service.
  • Access: see your confirmation email for start/end times.
  • Hand sanitiser and wipes will be in the room.
  • We want to ensure everyone has the chance to speak and share their thoughts, so please avoid talking over each other. Listen to the other learners and be respectful of everyone’s views.

Travel and parking 
  • Address: Mansfield Traquair Centre, 15 Mansfield Place, Edinburgh, EH3 6BB.
  • Buses from throughout the city come to Leith street/Leith walk and a number 8 will bring you straight to the doorstep. Waverley Station is within a 15 minute walk.   
  • A bike shed is situated in the car park and available to use. (Please ask Events team for the code in advance).
  • Disabled parking is available at venue, this is subject to availability and must be booked in advance via Events team. 
  • Q-Park at the Omni Centre (next to Edinburgh Playhouse). Paid on-street parking available around venue.
  • Limited parking is available for staff/business at venue, this is subject to availability and must be booked in advance via Events team training@scvo.scot
Venue access and information 
  • Front door entry: 09:00 – 16:30.
  • Front door location:  level 2 (street level).
  • Buzzer on front door please select SCVO to gain access. 
  • Back door entry by arrangement via Events team only.
  • Training room location: level 1 (below reception).   
  • Accessible toilet: level 0.   
  • Ladies’ toilet: level 0.  
  • Gents’ toilet: level 1.
  • There is a garden on level 0, it is the owner’s responsibility to clean up any mess.    
  • Smoking is permitted in the garden, via the fire exit on level 0 - for security reasons the door must be closed afterwards.
Accessibility
  • Wheelchair access is available to all levels of venue from front and back door.
  • Should you find that the lift fails while in use, press the alarm button and the alarm will alert the technician.
  • A fixed induction loop is available - delegates will book in advance, trainers will be informed.
Fire alarm 
  • When the fire alarm sounds everyone must evacuate and make their way to the assembly point: Dream Doors, corner of Cochrane Terrace and East London Street.
  • On discovering a fire, operate nearest alarm call-pointimmediately (Raeburn room), which will call the fire brigade.
  • Fire wardens will ensure all participants have evacuated and no one is left in the building.
  • Note: Fire alarm test is Wednesday at 11am - if it rings for more than 30 seconds please follow the evacuation procedure above.  
Lunch and refreshments
  • Lunch is served in the training room foyer and can be taken into the training room. As part of SCVO’s commitment to reducing our environmental impact, lunch will be vegetarian by default. 
Training room – Raeburn room 
  • Wi-fi, Network: SCVO_Guest_EDI, Password: Qu33nsFerryED15.
  • Under no circumstances should anything be stuck to the walls of the Raeburn room, Blackadder Room or foyer - please use the flipcharts/railing.
  • The air conditioning/heating controls are located near the door and can be turned on/off as required.  

Delegate information - Edward House, Glasgow

Travel and parking 
  • Address: Edward House, 199 Sauchiehall Street, Glasgow, G2 3EX.
  • Q-Park Car Park accessible from Bath Street is right next door. Paid on-street parking is available on West Campbell Street and Bath Street.
  • Buchanan Bus Station is a 12 minute walk.
  • Queen Street Station is a 13 minute walk.
  • Central Station is a 10 minute walk.
  • Cowcaddens Subway Station is a 7 minute walk.
Venue access and information
  • Facilities operate in this building 08:30-14:30, Monday-Friday.
  • Press buzzer 8 followed by the wee bell to be connected via intercom to the training room (both at the main door and the door to the lift lobby).
  • The training room is on the second office floor.
  • Ladies’, men’s and accessible toilets can be found on both the first and second office floor.
  • Please do not smoke directly outside either the main door or the exit from the lift lobby.
Accessibility
  • Wheelchair access is available to all areas.
  • Urgent health and safety/security issues should be reported on 07798 815 122 where immediate action is required.
  • Non-urgent health and safety issues should be reported to facilities@scvo.scot.
  • There is one first aid kit inside the SCVO office on the second office floor, on the bookcase round the corner from the meeting room door, and one first aid kit on top of the fridge in the kitchen on the first office floor.
  • There is a defibrillator inside the SCVO office to the right of the lockers.
  • Should you find the lift fails while in use, press the alarm button to be connected to the alarm receiving centre.
Fire alarm
  • If you discover a fire, press the nearest red alarm call-point immediately. Follow emergency signs to leave the building by the nearest exit. Do not stop to collect personal belongings and do not use the main lift. Go straight to our assembly point at the junction of Sauchiehall Street and Cambridge Street – in the middle of the crossroads outside the front of the building.  
  • There is an evacuation chair on the second office floor in the main stairwell landing. This area is also a refuge point. In the event of an evacuation, you must inform fire wardens/the emergency services if someone is in the refuge point awaiting rescue.
  • Note: Fire alarm test is Thursday between 8.15am - 8.45am. If it rings for more than 30 seconds please follow the evacuation procedure above.

Training room
  • Wi-Fi Network: SCVO_Guest_Edward, Password: Buchanan5TGL3.
  • Under no circumstances should anything be stuck to the walls of the training room - please use the flipchart. 
  • There are two heating controls on the training room wall above the heaters which may be turned up/down as required.
